Accounting & HR Assistant

The Role

Responsible for providing accounting and clerical support to the Accounting & HR department. Key daily A/R and A/P transactions to the general ledger, ensure files are complete and maintained, and assist in special projects as needed.

Essential Duties & Responsibilities

  • Assist with the processing of cash receipts to appropriate invoices, noting any shortages
  • Ensure trade reference checks are performed on new customer accounts
  • Process Accounts Receivable and Accounts Payable transactions
  • Respond to customer or vendor inquiries as it relates to invoices or other matters
  • Monitor and contact customer accounts for delayed payment or non-payment
  • Verify and ensure that vendor invoices, credit card transactions and employee expenses are properly coded
  • Gather A/P bills in time to facilitate scheduled check-run or electronic funds transfer process
  • Prepare and maintain accounting documents and records
  • Research, verify and analyze returns, proof of delivery, shortages and allowances with various departments (specifically Customer Service / Sales / Logistics)
  • Assist with month-end, and year-end closings, annual audits and special projects as needed
  • Cross-train with other staff and perform other duties assigned
  • Conduct orientation of new employees
  • Assist with day-to-day processing of benefit programs including new employee changes, terminations and keeping all tracking and records up-to-date
  • Assist with open-enrollment and other duties as assigned

  • Outstanding general computer skills including MS Office Suite (Excel, Word, and Outlook)
  • Experience in Sage 100 is a plus

Education & Experience

  • Accounting Certification or Associate's degrees in Business or Accounting
  • Minimum of 1-2 years combined progressive work experience and/or education
